JOB DESCRIPTIONAPPLY Job Description
Project & Administration Coordinator supports PSPMs in both project management and administration. Works closely with PSPMs and PSPM Head of Franchise on projects, providing technical PM support through in depth project knowledge and assists in up to date maintenance of project schedules and reports in addition to ensuring actions are completed and critical issues identified and escalated for resolution.
The administration work includes analytical and specialized administrative support to assist staff with complex tasks and advanced administrative duties including collection and preparation of information for use in discussions/presentations. Coordinates activities between departments and outside parties. Contacts and works with company personnel at all organizational levels to schedule meetings, gather information and prepare reports.
60% Project Coordination & Support
Provide assistance on project deliverables including MS project, Milestone Pro, Visio, PowerPoint, meeting and event coordination
Assist team leaders in planning meetings, taking & distributing minutes and following up on action items and deliverables as required
Review project status and prepares status reports
Provides solutions to routine project questions and issues related to project milestones and deliverables ensuring that projects remain on schedule while meeting quality expectations and client-satisfaction goals
Assist Head of PSPM Franchises with project assignments as identified
Support PSPMs with: Monthly reporting requirements, calendaring, project timelines, action item follow-up, etc.
Collects and prepare information for use in discussions/meetings
Set-up and maintain LTP SharePoint Team Site ensuring site is up to date and accurately categorized
Makes high-level contacts of a sensitive nature inside and outside the company.
Reviews and answers project questions and inquiries on own initiative and determine within established guidelines what action is required. Coordinates activities between PSPMs, LPTs and sub-teams
30% Administrative Support
Provide a range of administrative duties supporting PSPMs and Head of PSPM Franchise including but not limited to:
Schedule/calendar management (e.g., daily, weekly, monthly time analysis, appointment scheduling, schedule conflict management, etc.)
Meeting agendas, presentations, reports, organizational charts and follows up on action items
Receiving and managing on-site business guests
Manage office supplies for team
Prepare purchase requisitions, and manage invoice and PO processes, including consultancy fees and vendors
Arrange and organize travel itineraries and agendas, prepares and submits expense reports
Take and maintain minutes for meetings as required
10% CP&PM Support
Active participations in the CP&PM team, Admin and PM forums to deliver CP&PM initiatives and build a center of program and project management excellence
Liaise and coordinate with CP&PM Exec Assistant and PSPM Senior Admin to ensure optimal interaction with other staff/departments
EDUCATION & EXPERIENCE REQUIREMENTS
A minimum of 5 years of office administration
A minimum of 3 years project management support experience
Experience in meeting planning, project support and event coordination
Experience working within a high paced fluid environment
Experience with SAP is desired
Bachelor s Degree highly preferred
