Job Description*

Job Title: Program Administrator
Reports To: Program Officer
Division: D611 - Global Scholarship Programs
Location: New York
Effective Date: February 2012

Purpose of Position: Provides clerical and administrative support to the Division, with focus on the Operations Unit. Work is carried out under general supervision.

Essential Duties and Responsibilities include the following. IIE may add, change, or remove essential and other duties at any time.

Responsible for complying with applicable contract and sponsor requirements and following all IIE policies and procedures.

Assists with scholarship application processing, including processing incoming application documents and reviewing for accuracy.

Assists with preparation of application materials for selection committee review.

Performs accurate data entry and maintains program participant and payment records; creates payment requests and communicates with individual participants regarding payments.?

Creates, organizes, and maintains hard and electronic copy files and records

Assists with correspondence regarding program requirements to participants and responds to routine questions, inquiries and correspondence, via telephone and email.

Provides general administrative support including photocopying, scanning, mailing, program material preparation and dissemination and keeping minutes for team meetings.?

Assists with preparation of immigration documents for J-visa program participants.

Assists with arranging internal and external meetings and events, including travel logistics.

Performs other duties and functions as assigned.

Education/Experience:
Bachelor’s degree and a minimum of 1 year of administration/office experience; or a combination of education and experience.

Skills Required:
To perform this job successfully, an individual should have knowledge Microsoft Office 2010; internet software and database software.

Excellent customer service, telephone, communications and public relations skills.

Ability to follow established guidelines, policies, and procedures in order to insure consistency.

Ability to maintain excellent standards of quality as a primary organizational focus.

Excellent writing skills.

Extremely well-organized and showing attention to detail.

Demonstration of cross-cultural sensitivity, international awareness, experience, perspective and ability to work cooperatively with others.

Ability to keep track of several tasks at the same time.

Ability to handle large volumes of work, shift priorities, and meet deadlines.

Be a team player, an independent thinker, self-motivator, extremely organized
