Job Description
Arcadis is currently searching for a Project Assistant, with 4 or more years experience, to join our Water Business Line team in the New York City, NY {3rd Ave.} office.

This is an exciting opportunity for a self-motivated individual to join our team locally with support from one of the best-qualified municipal consulting firms in the country. The Project Assistant will work on project specific work, such as: tracking progress of various ongoing projects, prepare reports regarding contracts for management use, arranging of meetings, monitoring schedules, project budgets and preparing and distributing routine correspondence related to the projects, for a variety of project teams simultaneously. The Project Assistant, will also assist other Professional, Technical, and Engineering staff of this office with day to day administrative tasks of the office, to include; various word processing, filing and other documents handling, ordering of supplies, etc.

Position responsibilities may include, but are not limited to:

* Tracks and monitors project schedules and budgets, and administers project and financial management accounting activities for small to larger sized projects.

* Assists visiting Arcadis employees and clients and tracks whereabouts and contact information of Water Business Line staff.

* Manages and files documents and other project related work in central repository.

* Prepares for office/client meetings including creating slide presentations and foam board posters, ordering of refreshments/food as necessary and clean up after meetings.

* Types and prepares sophisticated reports, memos, spreadsheets, presentation and conducts basic editing and QC of documents, (will need to learn standard Arcadis formatting and templates).

* As a backup to administrative staff, occasionally answers phones and helps direct incoming calls, checks and delivers messages from general voicemail box.

* Provides financial reports to project managers. Completes all work associated with billing State agency, public and private client contract. Verifies invoicing complies with contract terms

* Prepares contract terms compliance reports

* Assists other administrative employees with office equipment, such as copiers, printers, fax machines, etc., esuring there is enough ink, paper supplies and maintenance/repair calls are coordinated

* Assist with travel arrangements for incoming and outgoing office and company staff using Company Travel Site, while ensuring proper company travel policy is met.

* Manages calendars for equipment check out (overhead projectors, digital camera, office vehicles).

* Other duties as assigned.

Required Qualifications

* 4 years of technical/administrative experience in a fast-paced setting, preferably involving work in and Engineering or Construction office.

* Associate's Degree in Business, Accounting, Finance or a related field of study.

* Proficiency with Microsoft Office Applications {particularly Word, Excel & PowerPoint}

* Ability to prioritize and plan your work

* Demonstrated commitment to providing a safe and healthful workplace

* Strong communication skills, both written and oral.

* Ability to work under time constraints to accomplish goals and objectives, and handle multiple projects for several project managers simultaneously.

* Excellent analytical skills, with a strong attention to detail.

* Ability to work Overtime, as needed.
