Partners HealthCare System, Inc. (PHS) is an integrated health care system, founded by Brigham and Women's Hospital and Massachusetts General Hospital (MGH) that offers patients a continuum of coordinated and high-quality care. In July 2012, Partners HealthCare announced it would partner with Epic, the industry-leading provider of health information technology to develop and implement an integrated, electronic health information system at all institutions across the Partners network by 2017. This initiative, Partners eCare (PeC), is the largest program of its kind in the history of Partners HealthCare. In an effort to align clinical and administrative systems throughout Partners, our goal is one patient, one record, one team.
Under the direction of the MGH eCare Executive Director, the Project Specialist is responsible for project support for key objectives for MGH. This position will require a project manager who can work independently, collaborate with multiple disciplines, and facilitate project teams. The project will span all work areas of the hospital: inpatient, outpatient, clinical and administrative functions.
Work to cultivate strong, positive relationships with clinical and administrative departments as well as Partners eCare team members.
Develop project goals, objectives, approach, and scope in collaboration with the MGH clinical and operational leadership through negotiation and diplomacy that result in a well defined sponsored project.
Turn work around efficiently understanding tight timelines.
Develop strategies and solutions that comply with MGH standards, policies, practices and strategic directions.
Primarily function as an autonomous decision maker, but recognize when the involvement of senior management and the appropriate leadership at MGH is required.
Plan, manage, and over-see project in an organized, transparent, and thorough fashion:
o Plan for large, cross discipline meetings. Actively participate and work to ensure sessions run as smoothly as possible.
o Establish strong relationships with departments to ensure the right resources are able to participate in group work.
o Organize, track, and manage special session reviews and workflow walkthroughs.
o Work with team resources to ensure logistics (space, invitations, participant tracking, etc) are managed seamlessly.
o Understand the project timeline and scope well. Communicate widely. Work to engage staff members on a variety of levels to promote participation and partnership in the project work.
o Clearly document all activities for transparency and organization.
o Facilitate and ensure that project team completes work assignments in accordance with an established project timeline.
Provide on-going, clear, accurate project status reports to internal project management, user groups, project steering committee and executive hospital management.
Negotiate and engage resources necessary to appropriately implement the project.
Provide project-specific direction and guidance to project team members to facilitate timely and quality results. Monitor quality of work performed by team members throughout the project lifecycle.
Establish and create a positive project team environment through leadership and mentoring. Collaborate with our team of dedicated and enthusiastic workers.
Provide quality customer service and serve as an exemplary representative of the team. On-going communication, feedback and follow-through with customers and executive hospital management are essential. Understand that this process is a huge transition for most MGH employees and requires exceptional customer service and emotional intelligence.
Perform other duties as assigned.
Bachelors Degree, preferably in Healthcare Administration, Business Management, or IT.
3-5 years project experience is preferred.
3-5 years healthcare experience preferred.
Epic applications experience a plus.
Must have experience with major system installations and interfacing. Epic experience preferred.
Proven project management experience in a complex environment required. Project management certification preferred.
A combination of education and experience may be substituted for requirements as appropriate.

Experience with electronic health records, implementation, training and project management.
Excellent verbal and written communication skills with all levels of organization.
Exhibits strong professional persona.
Demonstrated commitment to delivery of high quality customer service.
Strong Microsoft Office skills.
Primarily office setting. Incumbent will be expected to travel to the appropriate PHS sites to meet with business owners and clinicians.
24x7 On Call responsibilities on a rotating basis required.
At the project level, responsible for assigning work to project team members, providing guidance, prioritization, and direction, and ensuring the timeliness and quality of work delivered by project team members. Manage direct reports.
Must develop and adhere to project budget.
