Well-Known company looking to hire an Receptionist/Administrative Assistant with previous Property Management/Real Estate background.
General duties include:
?Answer telephones, screen calls and take messages, relaying them accurately. Assist tenants/vendors with inquiries. Manage front desk, greeting visiting vendors and tenants, while attending to their needs and/or issues. Respond to daily incoming e-mails from vendors and tenants. Create work orders for the Building Engineer and Day Porters to complete Tenant requests throughout the building. Get the mail daily. Manage all incoming invoices - Review invoices, stamp with receipt date and correct property stamp. Coding may be part of the work, but may require some time to dominate. Filing both, electronically and paper documents scanned to the server. Assist Property Manager with projects as assigned. Keeping track and filing invoices, proposals and important documents. Manage any billable services to tenants. Other clerical duties as requested by Property Manager
The ideal candidate will be proficient in the Microsoft Office Suite with an emphasis on Excel, Word and Outlook. The candidate must have experience associated with administrative duties and possess strong attention to detail with the ability to prioritize and juggle multiple job functions, learn new procedures quickly, with great reporting accuracy and consistency in follow up. A strong background in customer service, with excellent oral and written communication skills, some basic knowledge of building infrastructure and experience in coordinating and scheduling are essential. High initiative, good judgment, problem solving and excellent interpersonal and relationship building skills.
?High school diploma equivalent, Associates or Bachelor?s degree preferred.
