Job Description:

As part of our ongoing company branding, we are looking for the right person to provide an organized and welcoming environment to the clients and guests of BCI Drake Division. The successful candidate will always be courteous and helpful to those who engage in communications with BCI - Drake Division. The front office receptionist will also provide administrative support to BCI - Drake Division's employees. Job Duties and Responsibilities:Answer all incoming calls for the company. Determine business need and transfer calls to appropriate individuals. Screen calls and take messages as warranted.Greet employees, clients, and visitors as they enter the main entrance of BCI Drake Division.Register all non-employees in the visitor log to keep accurate records.If the individual is granted access to the facility, issue a visitor badge. Notify appropriate company employee to receive the guest and escort to the proper location.Arrange all courier and expedited delivery for front office shipments via platforms such as FedEx, UPS, etc.Manage and book travel for all company employees, especially the executives, using research and comparison shopping skills.Order office supplies as required and create inventory par levels to maintain supply.Order kitchen supplies for both Houston facilities as needed and create inventory par levels to maintain supply.Stock both Bistro and employee break room kitchens. Create records of inventory stocked.Provide administrative support to the accounting department, especially Accounts Payable.Receive and process all outgoing and incoming mail.Stuff and mail all outgoing checks.Maintain conference room schedules online and update company vacation calendar.Run errands for executive management upon request.Order food for both client and internal meetings as requested.Coordinate with executives to manage distribution of all event tickets (Astros, Rodeo, Rockets, etc.)Organize company Christmas card mailing event. Execute the internal distribution and mailing of company Christmas cards. Skills:Intermediate experience with Microsoft Office Suite.Ability to organize and prioritize work. Qualifications/Requirements:2-5 years experience as a receptionist in a high traffic office environment.Experience arranging travel for executive-level employees, utilizing multiple platforms, research, and comparison shopping skills.Experience making announcements over a paging system.Outstanding interpersonal communication skills.Poised, dependable, and able to work under pressure with multiple demands.Customer service oriented.Excellent command of the English language.Conversational Spanish to assist callers.
