General Summary: The Receptionist position performs administrative and office support and provides clerical support for various departments. This position is full-time, Monday-Friday. Must have reliable transportation. Essential Duties: Executes operational support functions including all organization filing needs, packet collation, maintaining the online organizational chart, coordinating onboarding needs (name plates, pet photo). Updates organizational chart with all coming and going employees, as well as manager, position and title changes as needed. Keeps general office areas such as break room, hallways, supply rooms, conference rooms and lobby tidy. Ensures that the break room is always clean including keeping sink and dishwasher free of dirty or clean dishes. Ensures coffee machine, copiers, faxes and other office equipment is adequately stocked and replenished with supplies including regular tracking of supplies. Opens, stamps, sorts and delivers incoming mail and processes outgoing mail including delivering it to the post office as needed. Signs for and distributes deliveries to front office. Scans and files invoices. Coordinates and supports meetings including preparation, meeting refreshments and lunches including ordering, delivery/pick-up, set up and clean up. Maintains conference rooms including wiping down whiteboards and tables and cleaning up after meetings. Manages employee hire dates and birthdays in the leadership calendar. Runs errands as needed, including lunch pick-ups, bank runs, etc. Manages customer assignments including ASW. Operates multi-line telephone system (forwards calls, takes messages, etc). Other duties as assigned. Ability to communication both (verbal and written) Ability to build and maintain positive relations internally and externally. Strong organizational, task and time management skills with great attention to detail. Ability to work in a fast-paced, rapidly changing environment including the capacity to start and stop projects seamlessly, despite frequent interruptions, while maintaining attention to detail Work well both individually and in teams. Must possess a positive attitude and work well with others. Includes a friendly can-do attitude and willingness to contribute to any task. Good computer skills including the ability to learn how to navigate unfamiliar systems or programs quickly. Ability to use multiple computer programs at once. Experienced using email, Microsoft Excel, Microsoft Word and internet searches.
