JOB DUTIES:

*

Office Management
Manage personnel's weekly calendar of activities.
Attend staff meetings as needed and follow up with actions as needed.
File, make copies, fax, order supplies and maintain and monitor equipment and materials inventory
Develop and manage effective and efficient systems and procedures for office operation including assisting with data entry.
B. Management of Communications and Correspondence
Provide general receptionist services, including answering telephone lines and determine appropriate handling of calls. Take complete and accurate messages and convey to personnel in a timely manner.
Serve as liaison with FOCUS staff, POC, RC, and community based resources and agencies with communication needs.
Prepare draft staff meeting minutes, letters, and emails as requested.
Prepare and disseminate emails, mailings, brochures, outreach materials, and press releases as requested.
Prepare regular updates for online resources.
C. Meeting Coordination
Schedule appointments with families for FOCUS sessions.
Answer family and provider inquiries about accessing family resiliency training services and other FOCUS activities.
Coordinate site-specific activities with UCLA FOCUS team, including scheduling conference calls, tele-video conferences, local trainings, and multi-site events.
Assist with the coordination of special events and activities such as conferences, training events, and small meetings.
D. File and Data Management Support
Conduct research on specific topics as requested.
Maintain family sign-in sheets and computerized records.
Enter electronic family data on a regular basis.
Assist Family Resiliency Trainer staff with data-entry related to outreach contacts, provider referrals, and family records, as well as maintenance of the web-based files to compile reports and outcome information.
E. Direct Family Service Support
Support delivery of direct family-care services and group skill-building sessions as needed
Arrange for and provide refreshments, maintain and support waiting room-setting with age-appropriate toy/activity supplies, reading supplies, and educational materials for children, youth, and adult family members.
Assist with Site outreach as directed

Work flexible hours as required to meet specific project deadlines.

Perform other duties as assigned.



This is a 50% Part Time Contract position.



JOB QUALIFICATIONS:

BA or AA degree in social sciences, business, or general degree, and minimum four years work experience.

Experience, high comfort level and/or knowledge about working with military populations.

Experience working with children, teens and adults.

Skilled in keeping accurate and timely records.

Excellent verbal and interpersonal communication skills - both by telephone and in-person.

Demonstrated ability to interact effectively with individuals of various social, cultural, and educational backgrounds to obtain and convey information clearly, accurately, and courteously.

Ability to work effectively and closely with other members of the service team and maintain cooperative working relationships

Excellent organizational skills and ability to attend to detail to recognize errors or discrepancies while multi-tasking

Skill in maintaining a courteous and calm demeanor and professional appearance in a changing environment with frequent interruptions and distractions.

Ability to deal with confidential and sensitive information in a discreet and professional manner.

Ability to coordinate and maintain complex schedule, meeting calendars, email, and mail.

Ability to move supplies and office equipment as needed.

Ability to work flexible hours.

Knowledge of Microsoft Office applications including Word, Outlook, and Excel, and willingness to learn new computer-based systems for worksite management.
