PRINCIPAL DUTIES AND RESPONSIBILITIES

Management of Division Chief calendar

Phone coverage for Division Chief and other staff, as required

Arrange travel for Division Chief

Process reimbursements for Division Chief and other staff as required

Point of contact for Division lists

Arrange meetings, conferences, symposia and other events for the Division Chief and Division, including Division of Medical Communications

Point person for several projects working closely with the Division Administrator; educational accolades for the Department of Medicine, faculty self evaluations, conflict of interest activity

Webmaster for Pulmonary and Division of Medical Communications websites

Assist Division Chief and Research Administrator with grant applications, as requested

Requirements

QUALIFICATIONS

Level of education required:

- Minimum of a high school diploma or GED.

Work experience required:

- Minimum three years medical office or administrative support experience required.

- Some additional training in office systems or other post high school education

SKILLS/ ABILITIES/ COMPETENCIES REQUIRED

Work requires a high degree of intelligence, maturity, poise, sensitivity and discretion.

Incumbent must be able to work under pressure to meet deadlines, and must be able to handle multiple priorities and tasks.

Strong communication skills, both verbal and written, and knowledge of medical terminology.

Proficient in website development; positions requires a the savvy individual

Proficiency in office computer skills (word processing, scheduling programs, e-mail systems, excel, Powerpoint, etc.) and ability to learn new programs as needed.

Excellent interpersonal skills and ability to interact with wide spectrum of people.

Ability to work independently and exercise judgment in setting priorities.

Excellent organizational skills.
