Basic Function: Responsible for efficiently and effectively increasing banquet food and beverage revenue as well as meeting room rental income. Ensures the proper coordination and servicing of banquets, meeting, and cocktail receptions in-house. Manage accounts to achieve guest satisfaction and to solicit past and new business to ensure all revenue goals (room nights, adr, room rental, catering) are achieved Essential functions: Responsibilities include, but are not limited to: Move throughout property to conduct site inspections. Maximize revenue by selling al facets of the hotel, both orally and in written form to previous, current and potential clients. Handle account details so that all pertinent aspects of solicitation and closing are complete and documented. Coordinate various departments participation in servicing accounts. Solicit new accounts and review previous Banquet files to generate business Travel locally to conduct outside call, promote the hotel. Negotiate, Prepare and write contracts and enter information into sales program. Travel out of town to solicit business in feeder cities. Prepare information for, meet with and entertain clients as deemed appropriate by potential business from that account. Represent hotel at trade shows. Service existing accounts, and establish new accounts by planning and organizing daily work schedule to call on existing or potential sales outlets Develop and conduct persuasive verbal sales presentations to prospective clients. Participate in key organizations as recommended by management Prepare status and weekly reports to keep management abreast of activities. Maintain up-to-date knowledge of the competitions products, strengths and weaknesses to continually improve sales strategies and the achievement of goals. Follow-ups or appropriately distributes leads and/or business booked through room sales. Solicits and books banquet food and beverage business (social and corporate). Assists clients by offering suggestions with regard to set-up, menus, decorations, etc. Ensures that the function book is updated on a daily basis. Reviews all upcoming functions on a weekly basis with appropriate department heads. Ensures distribution of upcoming function sheets to appropriate department heads. Adheres to all of AFP Managements policies and procedures. (i.e., verifies banquet contracts, methods of payment, deposits, guarantees, etc.) Greets customer contact prior to the start of each function and maintains contact throughout the function to ensure that all arrangements are satisfactory. Follows-up on all completed banquet functions and solicits for future business. Sends thank you letters to appropriate clients at completion of all banquet functions. Continually prospects for new business. Ensures proper completion and distribution of all required sales reports on a timely basis. Maintains and updates competitive product offering and pricing structure. Develops promotional ideas to increase sales and implements the ideas upon approval of the Food and Beverage Director and the General Manager. Adheres to AFP Managements Sales Office policies as they relate to file set-up, account maintenance, forms, etc. Trains appropriate staff members to ensure quality Assists guests in obtaining special equipment or supplies (i.e., flowers, linens, A/V equipment, etc.) Supportive Functions: Attend sales, staff, and other Hotel meetings Assist the supportive staff with the maintenance of sales files Other duties as assigned Specific Job Knowledge, skill and ability: Knowledge of a hotel structure and how all departments interact Basic mathematics Ability to effectively communicate with the customers in a friendly and positive manner, in order to solicit business, meet client needs and resolve complaints
