Senior Facilities Coordinator

Job Description Summary

Responsible to provide real estate facilities helpdesk services on behalf of the client(s) and to monitor internal/external workflow for all facilities cases to ensure consistent quality of service and work product.

Responsibilities



* Respond to all facility inquiries and complaints, verify problem, and take the necessary corrective action

* Remain knowledgeable regarding all operational aspects of building systems including electrical, HVAC, air handling units, roof top units, plumbing, dock doors and levelers, mechanical, process controls, power transmissions, pumps, valves, pneumatic controls, and hydraulic devices

* Coordinate with outside contractors for the service and repairs of equipment

* Follow protocol for effective building-specific maintenance and safety procedures

* Maintain on-going communication with contractors, client, and team

* Request, review, and submit work orders, bids, and proposals from vendors

* Verify final invoice pricing and process payments in a timely manner

* Monitor and assess vendor performance

* Manage and seek approval on items relating to capital expenditures and insurance cases

* Manage complex work orders such as environmental issues and disaster recovery

* Negotiate savings and pricing with landlords and vendors

* Manage service and performance of vendors and landlords for timely completion of jobs

* Create and record appropriate written communication between all parties

* Schedule and document maintenance and repairs on building equipment

* Communicate frequently with client, landlords, and vendors to resolve issues and provide project status updates

* Provide training and direction to new associates

* Engage and develop effective working relationships with high profile clients and/or new clients

* Assist with measuring and reporting key performance indicators and performance against service level agreements

* Perform tasks with minimal supervision



Requirements



* Bachelor Degree

* 1+ years relevant work experience

* Or any similar combination of education and experience

* Working knowledge of computer software programs and base building systems

* Working knowledge of lease terms, the reconciliation process for Common Area Maintenance, insurance, and real estate taxes

* Proven record of providing excellent internal and external customer service

* Demonstrated ability to exercise good judgment

* Excellent interpersonal skills

* Excellent oral and written communication skills; portrays confidence with both

* Ability to demonstrate initiative and reflect a sense of urgency in daily duties by meeting or improving upon deadlines

* Ability to work a flexible schedule as needed, including but not limited to overnight travel, on call after hours and weekends



Physical Requirements



* Involves work of a general office nature; typically includes extended periods of sitting and/or operation of a computer for up to 8 hours a day

* May involve periods of standing, such as operating at a copier/fax/scanner

* Regularly required to talk, hear, and use hands and fingers to write and type

* Ability to speak clearly so others can understand you

* Ability to read and understand information and ideas presented orally and in writing

* Ability to communicate information and ideas in writing and orally so others will understand

* Regularly required to utilize vision abilities, allowing reading of printed material, graphics, and computer displays
