Sr Administrative Assistant

Job Description Summary

Provides general administrative support and marketing support to broker team(s) (ranges from supporting 4 to 6 commercial real estate brokers).

Job Description



Principal Responsibilities:



* Assist office operations team with opening new office location

* Sort, prepare, and deliver incoming/outgoing mail

* Maintain office supply inventory

* Assist with events/team meeting planning

* Assist with meetings scheduling on behalf of brokerage professionals

* Maintain confidential department records and office files in accordance with internal company procedures

* Proofread and correct spelling, grammatical, and layout errors

* Coordinate and assist with collecting, aggregating, and preparing data

* Update and maintain client database using Salesforce

* Coordinate travel and administrative activities

* Code and submit office invoices to Accounting

* Perform special projects as required

* Prepare expense reports, obtain receipts as needed, and reconcile all credit card charges

* Assist in the creation and/or editing of presentation materials including flyers, leasing proposals, case studies, email blasts, invitations, etc.

* Utilize standard marketing-approved templates and graphics while assisting in the creation of presentation materials, etc.

* Assist in in the creation of flyers and/or other materials needed for building listings



Requirements:



* Strong proficiency with Microsoft Office Suite

* Strong proficiency Adobe Suite (InDesign, Photoshop)

* Excellent phone and organization skills

* Ability to set priorities, meet deadlines, and multitask

* Strong writing, editing, and proofreading skills

* Excellent verbal and written communication skills

* Provide excellent customer service skills for internal and external clients

* Excellent interpersonal skills

* Excellent attendance and punctuality

* Professional appearance and decorum at all times

* The qualified candidate will be detail oriented, able to handle multiple projects simultaneously, extremely professional, and customer service oriented

* Ability to assist with set-up of new office location
