The Dean's Office of the School of Medicine is seeking an administrative associate to support the work of the Office of Strategy & Analytics. You will help this dynamic team respond to the need for strategic and analytic insights across departments, centers, institutes, and other relevant entities to achieve the Stanford Medicine vision of leading the biomedical revolution in Precision Health in consultation with senior faculty and administration leadership.

Collaboratively manage the calendar of the Senior Director, Strategy & Analytics, including organizing team meetings/activities. Help with travel arrangements for the team in compliance with school policies and provide guidance to the leadership search team on how to plan compliant travel for department chair candidates.
Process and submit expenses for the Office of Strategy & Analytics team, including expenses related to leadership search activities. Create and track accounting codes as needed to ensure clear reporting of finances.
Serve as the team's designated lead for general maintenance, health and safety, and other facilities related issues. Work with appropriate representatives to resolve issues, and if that is not possible, escalate to the Senior Director for resolution as needed.
Help draft and share communications within the team, and potentially work with team members to support specific projects.
Work with team members to ensure web content is up to date.
Ensure the team has necessary supplies and equipment, including helping to set up equipment for new team members.
Work with the Senior Director, Strategy & Analytics, to respond or route questions/requests for the team from internal and external stakeholders.
Remind staff of time card deadlines; schedule periodic feedback sessions for team members; work with the Senior Director to manage the annual performance review process.
As needed, provide backup support for events being sponsored by the Dean's Office/Chief Strategy Office.

Familiarity with Stanford University and/or School of Medicine financial systems and policies.
Prior experience working with senior leaders and their administrative support team members.
EDUCATION & EXPERIENCE (REQUIRED):
High school diploma and three years of administrative experience, or combination of education and relevant experience.
KNOWLEDGE, SKILLS AND ABILITIES (REQUIRED):
Proficient computer skills and demonstrated experience with office software and email applications.
Demonstrated success in following through and completing routine tasks.
Strong organizational skills and attention to detail.
Strong verbal and written communication skills.
Excellent customer service and interpersonal skills.
Ability to prioritize and multi-task.
CERTIFICATIONS & LICENSES:
Constantly perform desk-based computer tasks.
Occasionally stand/walk, reach/work above shoulders, grasp lightly/fine manipulation, grasp forcefully, use a telephone, sort/file paperwork or parts, lift/carry/push/pull objects that weigh up to 10 pounds.
Rarely twist/bend/stoop/squat, kneel/crawl.
