JOB DESCRIPTIONAPPLY Under the direction of the Office Manager of the Surgical Reporting area, this position is responsible for completing surgical reports accurately in Pathologys LIS system (CoPath). Responsible for Quality Assurance (QA) review, a critical step to ensure all information is correct, all prior inconsistencies, revisions, edits have been corrected enabling the report to be finalized, approved and available for clinicians. Responsible for autopsy coverage, processing PAD's and gross and final autopsy reports. Acts as a liaison between Pathologists, Residents and other transcription staff to maintain daily workflow.
Surgical Pathology Reports (all cases including consults and private consults)
Sorts requisitions/worksheets by resident/staff in numerical order, matching with working drafts,
Reviews worksheet for missing information and inconsistencies in gross description. Sends an e-mail alert to each prosector/dictator as well as Supervisor/Manager to ensure the quality of the report is fixed prior to final transcription.
Verifies information on pathology requisition matches information on working draft. Verify report & slides match.
Coordinates delivery of worksheets and requisitions to histopathology laboratory.
Enters final diagnosis into LIS using two patient identifiers proper patient identification
Operates transcribing equipment and using a PHS workstation to transcribe gross descriptions, consult reports and other recorded data. requisition for accuracy.
Will perform QA review to ensure all information is correctly entered into LIS including clinical history, gross description, frozen section diagnosis and final diagnosis. Paying close attention to detail. evaluates hand-written diagnostic reports prior to entering into computer for content Proofreads material to verify accuracy and identify any typographical errors using knowledge of medical terminology and refers to medical dictionaries or other references as needed.
Enters CPT codes into Laboratory Information System
Review reports to ensure all billable tests have been captured and appropriately coded (i.e., frozen section, special stains, decalcification, etc).
May assist in adding orders to signed out cases for billing purposes. Using post-sign out procedures obtains billing number, accessions the case with the same information for billing purposes, enters code, puts in appropriate sign-out folder, and then processes the addendum.
Transcribes Preliminary Anatomic Diagnosis (PAD's), gross autopsy & final autopsy reports.
Performs QA review to ensure all information is correctly entered into LIS including clinical history, gross description, and final diagnosis. Paying close attention to detail evaluates hand-written diagnostic reports prior to entering into computer for content Proofreads material to verify accuracy and identify any typographical errors using knowledge of medical terminology and refers to medical dictionaries or other references as needed.
Transcribes final autopsy reports making corrections/edits as necessary, researches appropriate attending physician for autopsy reports (prints CAS patient data sheet to ensure correct patient information was accessioned)May interact with patients families via telephone for report requests
Communicates turnaround time data to each resident/staff by sending emails about their late cases. In addition, may also include weekly distribution of autopsy late letters, to ensure they meet department standards.
Prepare worksheets and requisitions for scanning .
Maintain Access log/retrieval of reports and destruction list for the required 4 year timeframe
Act as liaison between pathologists, residents, and transcription staff to maintain daily workflow.
Provide customer support for client requests by telephone.
Maintain fax machine and ensure HIPAA compliance.
Maintain appropriate releases for faxing results to patients/clinicians.
Distributes overdue surgical case lists to follow-up problems on outstanding cases to bring to timely completion.
Delivers, picks up, sorts and process mail at 3:00 p. m. Resolves any mail with that had forwarding and returning mail that does not belong to us.
Provides customer support and executed client requests by telephone.
Orders and maintain supplies for department.
Assists in troubleshooting missing report and missing slides for residents/staff.
May prepare files, folders, file reports, label and file slides and perform other clerical related duties as time may permit and as assigned
HS diploma or equivalent required.
Associates degree preferred.
Minimum of 3 years of healthcare or related administrative experience required
Experience with CPT coding preferred
Excellent attention to detail
Ability to accurately type in information from handwritten or typed copy
Ability to handle confidential patient information.
Ability to problem solve
Knowledge of medical terminology (2-3 years in medical/healthcare setting)
Effective grammar and spelling skills
Ability to proficiently use a Windows based system
Prior demonstrated computer typing skills
Good interpersonal and communication skills to be able to interact effectively with others at all levels
Ability to multitask and work accurately
Manual dexterity and visual accuracy
Demonstrates excellent dependability, reliability, accuracy, attention to detail, prioritization ability, problem solving skills, customer service and teamwork.
