JOB DESCRIPTIONAPPLY JOB SUMMARY
Reporting to the Manager, Waste and Recycling Management, the Surplus Property Coordinator oversees the day-to-day University surplus property operations, including the warehouse and public and/or online auctions; ensures surplus functions, trucking efforts, and warehouse organization operate at maximum efficiency; maintains current public and online auction formats and methods; evaluates and recommends changes or preferred methods, as appropriate; oversees on-going implementation of programming (e.g.) online SWAP program for internal usage; external online auction system; and partnership with existing services; researches, develops, and recommends a surplus property tracking system and implementation plan; maintains and/or expands surplus webpage and listserv(s); oversees waste; e-waste; and other materials related to surplus; collaborates with the Office of the Treasurer (physical assets) to determine work flow of assets going to and from surplus;
identifies and authorizes best material diversion option(s); advises on strategies for reaching specific audience(s); ensures diversion options are in compliance with Kentucky Revised Statues, University Administrative Regulations, and Office of Treasurer Business Procedures; and promotes and establishes relationships with other surplus operations to improve organizational effectiveness. In addition, this position, models and promotes excellent customer service for internal and external clients and customers; develops effective means to track customer needs, delivers appropriate and timely responses, and monitors progress towards reaching goals and objectives; responds promptly to customer inquiries; obtains and evaluates all relevant information to address and resolve customer complaints in a timely manner; follows up on customer interactions; proactively and regularly initiates contact with clients and customers via telephone, electronically, or face-to-face; organizes workflow to meet customer timeframes; records details of actions taken and maintains records of customer interactions and transactions; prepares and distributes customer sales and activity reports; prepares expense documents for each auction and reports all auction activities; requests fund transfers for sales reimbursements; verifies of property tag numbers match item description and surplus listing; communicates and coordinates with internal departments; ensures overall quality and compliance with safety and other statutory regulations; and complies with UK Records Retention Policies.
SKILLS / KNOWLEDGE / ABILITIES
MS Windows/Office; SAP; Business Policies and Procedures; and Driver s License and the ability to drive are preferred.
DOES THIS POSITION HAVE SUPERVISORY RESPONSIBILITIES*
Bachelor s Degree + 3 years in overseeing and gainfully disposing of items designated as surplus (e.g.) hardware, furniture, vehicles, equipment, etc., via transfer, direct sales, or auctions.
