JOB DESCRIPTIONAPPLY POSITION SUMMARY:
Provides customer service and communicates with customers and carriers regarding load delays and supply issues. Confirms with carriers that all dispatched orders have been received and will meet the scheduled delivery windows. Processes order changes submitted by marketers and customers and communicates those changes with the carriers. Receives notifications of supply and allocation problems and directs carriers to alternate suppliers and supply points as needed.
WORK SCHEDULES & HOURS:
Swing shift will include 5 days per week, 10 hours per day; including weekends and some holidays
Approximate swing shift hours are 1:30pm-12:30am.
May rotate to graveyard shift which is 6:00pm-5:00am.
ESSENTIAL DUTIES & RESPONSIBILITIES:
Communicate with customers and marketers placing or changing bulk fuel orders. Enter orders/changes into appropriate data systems.
Review all new orders for appropriate credit limitations. Obtain approval from credit officers whenever credit limits are exceeded.
Prioritize multiple delivery requests from contract and non-contract customers and arrange for fuel delivery within the specified delivery window whenever possible.
Maintain contact and good relationships with internal and external bulk fuel carriers regarding delivery delays and industry conditions.
Receive supply outage reports from carriers and suppliers; coordinate use of alternative suppliers and racks based on pricing.
Send order confirmation summaries and follow up with carriers to ensure all loads have been received by carriers.
Maintain a chronological activity log of all new orders, significant events, supply outages, supply changes, and delivery issues.
Maintain current pull sheets and price sheets for all states, and provide loading information to carriers as needed.

Must have the ability to work independently and as part of a team.
Ability to use existing database programs and spreadsheet software to create, enter, revise, sort, calculate, and retrieve orders and other data.
Ability to use multiple-line telephones, and web based computer systems to communicate with customers, marketers, fuel carrier dispatchers, and delivery drivers.
Ability to sit in office chair in a conventional office environment for extended periods. No exhaustive physical activity required, no lifting required.
Skilled in map reading, vehicle route analysis, and delivery time determination.
Must have working knowledge to an intermediate/advanced level of the following computer software: Most Microsoft products including Excel, Word, Outlook (2010 or newer), and Internet.
Knowledge of how to prepare documents and reports while adhering to correct grammar, spelling, capitalization, punctuation rules.
Ability to analyze, interpret, and correct database freight tables and mileage data used to determine freight costs and invoice customers.
Knowledge of the petroleum industry, bulk fuel delivery methodology, and standard hazardous cargo dispatch practices.
Must have excellent verbal and written communication skills in English.
Must have ability to perform basic mathematical calculations.
