JOB DESCRIPTIONAPPLY Overview
This position is responsible for providing confidential and high-level administrative and clerical support to the Finance Department while exercising good judgment, initiative, and autonomy. Handles special projects and coordinates activities between departments and outside parties. Contacts internal and external personnel at all levels to gather information and accomplish objectives in a collaborative effort. This position will provide clerical support for contracts and purchasing administration, accounts payable and other general accounting tasks as required.
Organize and schedule meetings with high attention to detail on conference room bookings, necessary audio video/teleconference equipment, communication to participants and agendas. Works with other Administrative Assistants to ensure coordination among meeting attendees.
Prepare and compile confidential correspondence and Power Ppoint presentations.
Administer the purchase requisition and contracting process and maintain the purchase requisition/ contracts database.
Routing and controlling purchase requisitions for proper approval in compliance with corporate policy.
Route vendor invoices for approval.
Match invoices to checks, ensure proper vendor information and prepare check packets for mailing.
Review travel and expense reports, including monitoring expenses to ensure compliance with corporate policy.
Maintain efficient filing system.
Support the company in maintaining a work environment focused on quality and that fosters learning, respect, open communication, collaboration, integration, and teamwork.
Additional administrative duties and accounting tasks as assigned.
