JOB DUTIES:

This Visa Coordinator is under the supervision and management of the Director of Human Resources of DGSOM Radiological Sciences and the Manager of Academic Actions.

The incumbent serves as the department lead for visas for Radiology employees - faculty/staff/others, special programs for international medical graduates, Medical Staff & Faculty Practice Group (FPG) activities, licensing and certification, mentoring, proctoring, peer reviews, and issuance of certificates of insurance. Delivers HR functions and services for Radiology faculty, staff, and students, and interacts with various offices in the David Geffen School of Medicine, the UCLA Health System, and others internal and external to UCLA to accomplish goals. Coordinates the credentialing and privileging processes with the Medical Staff and FPG offices for Westwood Hospital, Santa Monica Hospital, the UCLA Medical Group, Martin Luther King Jr. Community Hospital, and all other Department locations on new and continuing physicians and allied health care employees. Maintain and monitor database of CA medical licenses, Drug Enforcement Agency licenses, and Radiology Supervisor & Operator. Monitors compliance requirements with the Radiology Quality Committee: JCAHO, HIPPA, billing and coding training, biannual BLS certification and reappointment of credentials and billing privileges. Manages all aspects of the Mentoring and Proctoring processes for Department and affiliate assistant level faculty. Oversees the Department's online peer review system that is integrated with the American College of Radiology (ACR) system and PowerScribe 360. Requests COIs for faculty for their outside collaborative activities using the UC online system with Alliant Insurance.



JOB QUALIFICATIONS:

Bachelor's degree and 2 years of experience in administrative analysis or field related to this position or an equivalent combination of education and experience. Working knowledge of Microsoft Office: Word, Excel, Power-Point, Access. Working experience with employee databases such as EDB, PTR, BIS. Excellent written communication skills to compose and edit letters, memos and other correspondence using proper grammar, punctuation, spelling and syntax. Skill in prioritizing projects and assignments to complete work in a timely and accurate manner. Ability to read and follow precise written instructions for preparing documents, spreadsheets and various forms. Working analytical skills review financial analysis, planning, preparation and administration for a budget with multiple complex funding sources. Demonstrated skill in assessing situations, anticipating problems, gathering information or data, and recommending solutions. Ability to handle sensitive materials and confidential information with discretion and tact.
