Department: Electrical Engineering - 170
Position Summary: The Department of Electrical Engineering is one of the largest academic departments in the School of Engineering and Applied Science at Princeton University. The Department has 29 faculty, 22 administrative and technical staff (the manager has direct oversight of 11 staff), about 160 graduate students and 70 undergraduate students, 55K square feet of space, and research expenditures around $15 million per year. Over the next five years the Department is seeking to build upon its existing level of excellence with new research initiatives and faculty hires.
Under the broad direction of the Chair, the Department Manager plans, oversees, and directs the administrative and financial affairs of the Department. S/he works closely with the Chair to execute policy and strategic direction for the operation of the Department and participates in short and long-term planning for department operations and activities. The academic manager is responsible for ensuring that the faculty, students, and staff in their academic unit have the necessary assistance to carry out their academic, research and administrative duties. Hands-on, demonstrated experience in the following competencies is required: - Personnel management and staff development - Grant management - Budgetary management - Safety issues - Facilities management
The manager will be involved in all aspects of department management. The academic manager ensures that all internal deadlines are met and that the department is compliant with all internal guidelines and external regulations. The academic manager is the primary point of contact for administrative offices. The manager is responsible for careful and appropriate management of the department finances as well as the faculty FTE budget. The academic manager monitors spending and provides regular and timely financial analysis and projections to the chair. The manager provides oversight of facilities management including aspects of space allocation and code compliance, and oversight of various appointments (administrative, research, technical), oversight of all department-specific student and employee personnel records.
Requirements: Position requires: - Bachelor's degree. - 5-7 years in office management or related administrative position that includes supervisory experience. - Experience in budget management and oversight of financial operations. - Experience with developing and maintaining records in readily accessible databases. - Excellent oral and written communication skills. The manager must accurately communicate (both verbally and in writing) process and policy information to faculty, staff and students. S/he must also be sensitive to the needs and concerns of faculty, staff, and students and communicate these to the Chair and other members of the University in an objective, accurate and professional manner. - Excellent organizational skills and ability to manage multiple priorities. - Ability to anticipate and initiate appropriate action in support of the Chair and department faculty. - Ability to effectively manage the resources of the Department. - Excellent interpersonal and customer service skills. - Demonstrated leadership, problem-solving and decision-making skills. - Experience in the supervision and monitoring of staff relations and staff development. - Proficiency in computer operations, including e-mail, internet, MS Office, and software.
