The Corporate Services Manager is responsible for the overall management and supervision of internal services, including corporate office administration. Also responsible for assisting and supporting the President and Managing Director in the week to week operations of the company to include booking travel and all administrative & record keeping duties. Additionally, heshe is responsible for responding to and addressing corporate guest complaints, maintaining corporate insurance plans and interacting and communicating with hotel managers. This position will also assist the Regional Director of Human Resources with administrativerecord keeping duties.



This is a corporate role and will be based in Providence, RI at the Providence Biltmore Hotel.



Responsibilities will include, but are not limited to:

?ý X Ensure the smooth operation of the Corporate office daily

?ý X Answer phone, direct calls, take and relay messages and return calls for the Corporate Office

?ý X Maintain a high level of confidentiality at all times.

?ý X Work closely with the President to ensure consistent and timely preparation of proposals, presentations and development of contract agreements; Assist President and Managing Director with preparation of presentation materials or delegate to the appropriate party and ensure completion.

?ý X Coordinate travel schedule and arrangements for President, Managing Director, Corporate Team and Property Managers both domestic and international.

?ý X Coordinate and schedule meetings and conference calls; take meeting minutes as assigned andor necessary for reference and follow up. Type minutes and distribute as directed andor necessary

?ý X Maintenance of all corporate files

?ý X Receive incident reports for property liability, review, assess, follow-up as needed and file

?ý X Maintain a central purchase order system for office supplies. Keep all inventories up to par; order all office supplies. Order and maintain inventory of all corporate letterhead and forms; distribute to corporate staff as requested.

?ý X Communication on behalf of the Grand Heritage corporate office on various subjects

?ý X Handle questions and special requests from hotel guests and or employees with the highest level of guest service and professionalism when they call the Corporate Office.

?ý X Renew, negotiate, coordinate open enrollments and maintain all corporate insurance programs including but not limited to: Health Insurance benefits, Liability Insurance, Worker????s Compensation Insurance, COBRA, 401K, Life Insurance

?ý X Review Grand Heritage invoices; approvedenyobtain signatures as necessary and submit to corporate accounting office

?ý X Communicate new or existing policies & procedures to GH managers; also clarify new or existing GH policies & procedures.

?ý X Ensure properties are compliant with HR posting requirements

?ý X Coordinate overall gift certificate issuance; Maintain files on donation requests and gift certificates donated

?ý X Open, date, stamp and allocate all mail to the appropriate corporate team members for handling

?ý X Be knowledgeable of all Grand Heritage Hotels and their Property Management staff.

?ý X Communicate effectively and directly with all hotel Human Resources MgrsDirectors and GMs.

?ý X Monitor and maintain information email box for Grand Heritage

?ý X Other duties will be discussed during hiring process
