JOB DESCRIPTIONPosition Description: Reports to the Human Resources Director. Provides administrative support functions on staffing and other personnel-related matters. Performs duties in at least one additional specialized human resources area such as recruiting, training, benefits or employee development. Essential Duties & Responsibilities*: Maintain up-to-date knowledge and distribute information to business unit on company policies and benefits. Maintain attendance reports for office and job site non-exempt employees. Respond to employee verification and various government agencies reporting. Generate reports from HRMS for business unit management. Provide administrative support for Human Resources VP and Manager. Assist with recruiting activities within business unit. Maintain applicant log in compliance with federal, state and local regulations. Organize and assist in various training events and programs, providing attendee lists, make travel arrangements, compile and update data into matrix. Maintain and prepare all active and termination personnel files including I-9 forms and other employee documents. Follow up on all inquiries in NYHR mailbox. Follow up with HR Administrators for missing personnel files and documentation. Prepare and code HR/Payroll invoices for approval. Set up conference calls. Prepare letters and memos as requested. Order office supplies for department. Fax, file, photocopy, and make files; mail documents for team members. Answer incoming calls and direct them as needed. Open all incoming mail and distribute it to the appropriate team member. Assist with tuition reimbursement program, staff awards, employee referral processing. Maintain confidentiality in all matters. *Work with HR team on special projects.
