Job Summary Statement:
Manage the academic review process and other academic personnel matters for the Institute of the Environment and Sustainability (IoES) for 73 current Faculty, Adjuncts, Researchers and Project Scientists. Act as the primary department resource for personnel dossiers for all ladder appointments and coordinate the search process for new faculty in consultation with the CAO. Update faculty changes in the payroll system. Under direction of the CAO, the incumbent is responsible for all functions pertaining to staff personnel and academic apprentice personnel including hire & separation and benefits counseling. Other responsibilities include: UPath input of position information; handling of personnel timesheets (time reporting); act as a liaison between Academic Personnel Office, Graduate Division & Student Support Office and periodically Dashew Center for International Students and Scholars. Research, analysis, interpretation, and implementation of Staff and Academic Personnel policy and procedure in compliance with Academic Personnel Manual guidelines, The CALL, and Deans' Office APO; act as departmental advisor to CAO and Director on academic and staff personnel-related issues. Serve as the parking coordinator for department. Compile and organize data for reports as requested by the Director and the CAO. Use sophisticated computer applications, both software and on-line systems, to manage information and complete tasks.

QUALIFICATIONS FOR POSITION
Knowledge of compensation plans policies and procedures.
Knowledge of UCLA CALL.
Knowledge of Academic Personnel Manual.
Knowledge of UCPath and OPUS.
Knowledge of Campus payroll policies and procedures.
Knowledge of various federal and non-federal granting agency policies and procedures for salary purposes.
Knowledge of accounting policies and procedures.
Knowledge of academic dossier preparation.
Knowledge of computer programs provided by the Department for use in preparation of spreadsheets, reports, worksheets.
Interpersonal skills to interact with Division, Department, and Dean's Office staff and faculty members.
Mathematical skills to include computing ratios, rates, and percentages.
Oral communication skills to interact informally or formally, and convey policies and procedures related to academic personnel matters with clarity and accuracy.
Skill in prioritizing assignments when faced with a heavy workload and changing deadlines.
Skill in organizing material, information, and people in a systematic way to optimize efficiency and minimize duplication of effort.
Ability to work independently with minimal supervision.
Ability to work under pressure with frequent interruptions and distractions.
Ability to protect maintain confidentiality of information.
Ability to compose detailed and complex correspondence, reports, memorandums, etc. for distribution to Departments and College of Letters and Science.
Ability to type with speed and accuracy.
Must be detail-oriented to ensure accurate financial accounting.
Ability to write grammatically correct, clear and concise analytical reports and correspondence to provide information to a variety of people at various levels of the organization.
Knowledge of policies and procedures for UCLA parking permits.
