JOB DESCRIPTIONAPPLY Position Summary:
This position reports to the Billing Manager in the New York Office. The Billing Coordinator will be responsible for all aspects of client billing, to include client budget projections, profitability analysis, collections, as well as implementing client billing guidelines and special billing arrangements. This role requires exemplary customer service, strong analytical skills and critical thinking. The candidate must have excellent writing and oral communication skills, be self-motivated and able to work independently.
Principal Duties and Responsibilities:
Review and edit time entries to ensure proper coding, billing rates, compliance with client guidelines and missing time and proactively follow-up with timekeepers and their assistants when necessary.
Provide budgeting, forecasting and ad hoc reporting specific to client needs, including participating in meetings the with Billing Partner, CFO, COO and senior management.
Create, draft, finalize and process client bills, including but not limited to preparation of narrative descriptions as well as detailed time/cost bills generated from Elite and the submission of bills through various electronic billing systems.
Prepare estimates of projected billings and adhere to client deadlines for submission into electronic billing systems. Monitor Ebills and correct rejected invoices immediately.
Analyze AFA proposals, including review of client billing guidelines and communicate these to the respective Billing Attorney and Billing Manager.
Proactively follow up on past due invoices, including communicating with clients and preparing status reports.
Bachelor's degree required, with concentration in Business, Accounting or Finance preferred. Candidates without four-year degrees may still be considered, based upon their overall employment history.
Required: three plus years of law-firm billing experience.
Advanced proficiency with Microsoft Office, Elite Enterprise and Electronic Billing Systems a must.
Advanced proficiency with tables and the ability to manipulate and analyze numbers within complex spreadsheets.
Excellent time and task management skills.
Ability to resolve problems effectively and efficiently to minimize disruptions to workflow.
Hours of Work:
Non-Exempt: 35 hours M-F; office hours 9:30 am to 5:30 pm
Must have some flexibility for overtime.
