Responsible for overseeing operations of assigned departments. SUPERVISION RECEIVED: Reports to Assistant Vice President, Ambulatory Services. SUPERVISION EXERCISED: Supervises Practice Managers and/or Office Managers, Safety Coaches, Ancillary Support Staff and oversees the management of medical practice activities. Those in this role are expected to allocate 70% of time to Practice Operations, Management and Improvement, 20% strategy, and 10% working with Physician Leadership and Administration on improving practice operations. ESSENTIAL FUNCTIONS: Responsible for supporting and communicating mission and strategic vision for assigned outpatient areas in collaboration with department leadership. Provides leadership in developing, planning, and implementing the business plans in collaboration with AVP and Clinical Leadership. Recommends, develops, implements improvements for assigned outpatient areas. Informs leadership team about current trends, problems, and medical activities to facilitate policy making. Establishes department specific policy and procedure to address basic functions of the department and to standardize and streamline operations. Oversees and manages the billing and collection processes of assigned outpatient areas ensuring compliance with standard billing practices and that appropriate processes are in place to minimize revenue loss. Ensures that daily reconciliation of charges and payments occur. Provide scheduled reports to Leadership detailing previously established key performance indicators and action plans for those that are outside of the range. Identify barriers to timely, high-quality, safe, high-touch medical services. Actively manage relationship with other hospital departments to assist in facilitating resolution. Enhances operational effectiveness, emphasizing cost containment without jeopardizing important innovation or quality of care. Ensures compliance with all regulatory agencies governing health care delivery and the rules of accrediting bodies. Continually monitors operations, programs, and physical properties. Initiates appropriate changes. Encourages community education by initiation and participation in health fairs and events to promote awareness. Responsible for managing the overall marketing activities of the practice in collaboration with health system marketing team. Participates in the Physician contracting process by providing necessary data and preparing documents required for approval. Considers impact of processes on physician compensation models. Represents the department in its relationships with other health organizations, government agencies, and third party payers. Serves as liaison and channel of communication between the hospitals, health plans, insurance companies, and regulatory bodies. Resolves any medical-administrative problems and keeps lines of communication open with staff to ensure high employee morale and a professional, healthful clinic atmosphere. Maintains professional affiliations and enhances professional development to keep current in the latest health care trends and developments. Maintains the strictest level of confidentiality. QUALIFICATIONS: Bachelor s degree in Health Services or Healthcare Management, Master s in Healthcare or Business Administration preferred. Seven to ten years of Medical Practice Management experience, a history of increasing responsibility, and proven ability to work in highly matrixed, teaching environments is a must. Certification in LEAN and Crucial Conversations is a plus.
