DUTIES AND RESPONSIBILITIES

Plans, schedules and supervises daily operations and event/activity production. This includes planning and executing timely setups, technical operations, set tear-downs, change-overs for all events and programs in the Student Centers.
Ensures all equipment is up to day, operational and well maintained. This includes audio/visual systems.
Ensures all equipment maintenance and repairs are code compliant.
Manages daily maintenance and repairs in order to ensure uninterrupted operation.
Manages daily cleaning of Student Centers.
Provides recommendations for improvements of facilities necessary to maintain efficient operation.
Coordinates space allocation with the assistance of Campus Reservations.
Promotes the use of the Student Centers and the services each facility provides to support events and activities.
Provides assistance and guidance to meet the needs of the students, faculty, staff and guests using the facilities.
Responds to inquiries in order to provide or clarify information on departmental services, policies, and procedures.
Maintains records of client and customer interactions and transactions, event and activity reports, incident reports, recording details of inquiries, setups, comments, concerns including actions taken to provide quality customer care and service.
Communicates all event information to student staff. This ensures efficient setups and services. Provides detailed client information sheets, floor plans, etc., as a reference and resource.
Develops strategies that will lead to successful event planning and building management during events.
Suggests and pursues new ideas and techniques in event planning, building management and preventive maintenance.
Makes budget recommendations (e.g. revenue and expense) for annual operating goals.
Coordinates the planning and development of assessment and operational reviews.
Maintains familiar with, promotes, and carries out the objectives, philosophies, business protocols, and goals of University
Provides recommendations for improvements of facilities necessary to maintain efficient operation.
Prepares budget recommendations for maintaining and updating facilities.
Responsible for weekly, monthly and annual facility operations reports.
Develops safety and evacuation procedures and training that will align with Student Complex plans.
Work directly with clients for summer conference groups on housing/lodging.
Work directly with potential clients on their site-visits, contracts, insurance, event space preps.
Attend networking events, conferences, tradeshows as needed to drive potential business by utilizing on the job knowledge of spaces and setup configurations.
Develop emergency/evacuation procedures for all of the facilities within Student Complex and for events with other event facilities across campus.
Performs other duties as required.

MINIMUM EDUCATION AND/OR WORK EXPERIENCE

Bachelor s degree in related field and five years of experience in conference services.

- Knowledge and understanding of University organization, goals and objectives, and policies and
procedures.
- Possess strong interpersonal skills and the ability to effectively communicate with a wide range of individuals and constituencies in a diverse community.
- Possess excellent written and verbal communication skills.
- Ability to supervise and train assigned staff including organizing, prioritizing, and scheduling work assignments.
- Ability to direct multi-department technical, creative, and administrative staff.
- Ability to interpret, adapt, and apply guidelines and procedures.
- Ability to effectively present information to top management and public groups.
- Ability to exercise judgment, initiative, and maintain strict confidentiality.
- Ability to work effectively as a team member, and be able to deal effectively and courteously with supervisors, peers, etc.
- Ability to gather and analyze statistical data and generate reports.
- Skill in budget preparation and fiscal management.
- Knowledge and understanding of a range of student life/service issues and concerns.
- Ability to work effectively in a multi-ethnic/multi-cultural environment with students, faculty and staff.

CERTIFICATES/CREDENTIALS/LICENSES

Certification are not needed for this position.

COMPUTER SKILLS
