Job Description:
Under general supervision of the WRPI Executive Director and Program Manager, and the WRI Director, the Administrative Coordinator will perform general secretarial/clerical duties for the Water Resources Institute office. Specific duties include:
Maintain the office area, make/answer phone calls, and help sort office mail
Assist visitors and refer them to the appropriate personnel
Answer routine questions about the programs
Take lead on WRPI Annual Report
Order supplies and materials (ProCard, Staples, Office Max/Depot, etc)
Assist with spreadsheets and data entry, and maintenance of listservs
Create online surveys/polls, write/mail letters, email correspondence, proofread/edit documents, maintain electronic and physical files
Schedule and set up conference calls and meetings, arrange travel, attend conference calls/meetings and record minutes to be sent to participants
Take lead on conference/event planning, as well as creating printed materials, etc.
Complete HR paperwork for hires/separations, as well as provide time sheet instructions to new hires
Provide guidance to student office assistants, training/delegating as needed
Perform research, as assigned
Perform other duties as assigned

Minimum Qualifications:
An Administrative Coordinator Applicant must possess:
A high school diploma or equivalent
A minimum of two years of relatable experience
Computer literacy with Microsoft Word and Excel and have experience with the internet and email
Ability to handle confidential and sensitive information
Experience in operating a duplicating machine, fax machine, and scanner
Knowledge of correct English, grammar, spelling, and punctuation
Ability to work independently
Ability to relate and communicate effectively and professionally with a diverse group of people, including staff, students, faculty, campus community and outside agencies
Ability to prioritize work

Preferred Additional Skills:
Knowledge of office methods, procedures, and practices
Familiarity with PeopleSoft, Concur, Qualtrics, and Adobe Photoshop/InDesign
Experience in a college or university office setting

Sick pay accruals - 8 hours/month
Educational Assistance - After 6 months of employment, tuition is reimbursed for up to a maximum of 6 units or 2 courses, whichever is greater. Benefit is based on availability of funding.
