JOB DESCRIPTIONThe Staff Assistant III will provide administrative support to the Associate Chief Nurse for Women and Children, Mental Health, Cancer Center and Community Health.
Under general supervision, the Staff Assistant III coordinates and takes a team lead role for the department/units programs. Develops and monitors general fund, special fund and/or budgets. Prepares monthly and annual reports and provides financial analyses. Assists department administration with the effective management of the offices daily operations.
May include duties and responsibilities of the Clerk, Office Assistant, Staff Assistant I and II as well as:
Creates, designs and maintains various relational database and spreadsheet applications.
Coordinates all administrative/secretarial aspects of departmental/unit specific programs (i.e. Quality Assurance Program, etc.). Responsibilities also include: database input, agenda preparation, project scheduling, meeting support etc.
May assist with the marketing efforts of a program or unit services.
May coordinate space management for the department (i.e. environmental/safety concerns, moves, renovations, etc.).
Effectively interacts with all levels of management.
Handles confidential institutional information.
Performs all other duties that are unit specific and are appropriate to this level of position. Associates Degree in Secretarial Science/Business, or a Secretarial Training Certificate Program required. Bachelors Degree in Business or related field preferred.
3 years of relevant experience for staff assistant preferred
Academic Health experience is a plus.
Excellent word processing/spreadsheet/database skills
Advanced knowledge in Microsoft Office Applications Required (Manage Outlook calendars and calendar invitations, Assist in the development of PowerPoint presentations and maintenance of Excel files)
Ability to utilize payroll software
Excellent organizational skills
Ability to multi task and work well under pressure
Ability to handle sensitive/confidential information
Diplomacy and discretion around sensitive information
Strong verbal and written communication skills, organizational abilities and mature responsible personality
Anticipates challenges and develops and implements strategies for addressing them
Flexible and highly organized to prioritize, meet deadlines and the demands of a fast paced, complex teaching environment
Requires independent judgment
